1. Introduction

This Personal Information Collection Notice applies to the handling of personal information to the extent that it is collected by, or provided to, us in connection with your member subscription to our digital platform located at https://placeconnect.statedevelopment.qld.gov.au/ (the platform) and our issuing of general or tailored alerts as a result of your subscription. By subscribing to our platform, you consent to us using, disclosing and otherwise dealing with your personal information as outlined in this Personal Information Collection Notice.

The platform is administered by the Department of State Development, Infrastructure and Planning (the department) (‘we’, ‘us’ or ‘our’) and we collect your personal information for the purpose outlined in section 2. We may use your personal information for this purpose.

Social Pinpoint, provides and manages the software necessary to support the platform’s framework and may access your information for the purposes outlined in section 4. Social Pinpoint utilises Amazon Web Services (AWS) for all its cloud hosting and server infrastructure. All platform data, including backups, are hosted by AWS within a data centre in Sydney, NSW, Australia.

2. Why do we need to collect personal data and information?

Due to the nature of the platform, it is not practical for you to participate without identifying yourself. The Department collects your personal information to:

  • keep you informed about platform news (e.g. newsletter, targeted campaigns) and project updates
  • support collaboration between subscribed members enabling validated representatives of organisations (members) to join the PlaceConnect community of practice or other platform engagement groups
  • administer the platform and membership
  • connect community members
  • moderate contributions
  • improve the performance of the platform
  • specifically use your information, including email and postcode, to tailor localised messaging to you for upcoming activities.

3. What information do we collect?

We collect the following information you provide when you sign up:

  • username: comprised of your first and last name
  • to support login and to identify yourself on the platform
  • email: to support login and to enable communication with you
  • first name: to support administration, communication and collaboration
  • last name: to support user validation, administration, communication and collaboration
  • contact number: to support user validation, administration, communication and collaboration
  • my organisations name: to support user validation, administration, communication and collaboration
  • postcode: to support collaboration
  • my organisations ABN: to support user validation
  • sector I work in: to support collaboration
  • if sector is 'Other' provide details: to support collaboration.

The following activity data is collected to support administration and improvements:

  • status
  • user groups
  • signup date
  • last login
  • contributions
  • last contribution.

We also collect Information you provide in using the platform, including information you insert into your user profile, information you publish to others and your contribution to collaboration enabled by the platform (including your comments). At the time of writing, we understand Social Pinpoint uses cookies to record and log data, refer to https://www.socialpinpoint.com/privacy-policy/ for more information. However, the State makes no representations or warranties about Social Pinpoint’s policies or practices.

4. How we manage your data and information?

Personal data will not be disclosed or shared with third parties (including any other government agencies or organisations), or outside of the platform, without the explicit consent of the member, except where required or authorised by law.

  • Your personal information may be used by Social Pinpoint in their delivery of software services to the department and to internally analyse and improve their services and software - refer to https://www.socialpinpoint.com/privacy-policy/.
  • Your personal information may also be collected and accessed by Social Pinpoint in fulfilling their duties and responsibilities to the department and to internally analyse and improve their Services and Software. The type of personal information collected may include (but may not be limited to) the following types of information, when this information is shared:
    • Your name
    • Email address
    • Username
    • Profile picture
    • Phone number
    • Your IP address
    • User-agent string
    • Other unique ID numbers
    • Social network account IDs
    • Physical address, postcode, or other locational attributes
    • Demographic information such as age, gender, etc.
    • Information about your preferences
    • Your recorded thoughts, ideas, opinions, etc. as expressed by you. This may include sensitive information if you provide political opinions.
  • Social Pinpoint uses New Media Services (NMS) as a subcontractor. For Social Pinpoint they provide 24/7 human screening of all public contributions added to the site by users to ensure a safe and respectful moderated online environment. Note – NMS moderators only have access to public content, they don’t see or have access to any private data.
  • Unauthorised access is managed by Social Pinpoint https://www.socialpinpoint.com/security-statement/ (noting, such policy may be subject to change from time to time).
  • If you have not logged in for 12 months you may be contacted the department to review your membership and update your user profile.

5. Disclosure of your information?

We do not share your personal information other government agencies, organisations or anyone else unless one of the following applies:

  • you have consented
  • you’d expect us to, or we have told you we will
  • it is required or authorised by law
  • it will prevent or lessen a serious and imminent threat to somebody’s life or health
  • the disclosure is reasonably necessary for law enforcement, or for the protection of public revenue.

The Information Privacy Act 2009 (Qld) permits use and disclosure of your personal information in other circumstances. We will otherwise deal with your personal information in accordance with the Queensland Government Privacy Statement. You can read this statement at https://www.qld.gov.au/legal/privacy.

Only validated members are permitted to access the information shared on the platform. While you are encouraged to connect, share ideas and experiences, it is your responsibility to maintain the confidentiality of this information. For instance, members must ensure they have the necessary authorisation to share the information they upload to the platform. Additionally, it is imperative that information obtained from the platform is not disseminated to non-members.

6. How do I access, change or delete my personal data?

You can access and change the personal data you provide on the platform through your member profile https://placeconnect.statedevelopment.qld.gov.au/account.

You may also request a copy of, changes to, or deletion of your personal data the department holds by contacting the department as per section 10. This section also includes a link to the Department’s Customer complaints policy and procedure with contact details.

7. How do I unsubscribe from mailing lists and newsletters?

Either:

  • use the link on the newsletter
  • email placeconnect@dsdilgp.qld.gov.au
  • update your profile on https://placeconnect.statedevelopment.qld.gov.au/account.

8. How is my data secured and stored?

Social Pinpoint is responsible for securely storing your data and managing platform security. Refer to https://www.socialpinpoint.com/security-statement/

  • Security: Social Pinpoint has achieved ISO 27001 certification.
  • Social Pinpoint undertakes annual independent penetration testing of its product, services and infrastructure.
  • Social Pinpoint utilises AWS for all its cloud hosting and server infrastructure. All data, including backups, are hosted within a data centre in Sydney, NSW, Australia (which is subject to change from time to time).

9. Changes to this Personal Information Collection Notice:

You will be notified of updates and revisions to the notice via email.

Request a copy of, changes to, or deletion of, your personal data the department holds by emailing placeconnect@dsdilgp.qld.gov.au.
